Fixed vs per-guest costs

Some wedding costs stay the same whatever the guest count, like the photographer, attire and the band. Others scale with every guest: catering, drinks, chairs, linens, cake and favors. Separating the two shows the real saving from trimming the list. Removing 20 guests at $140 each saves $2,800, but the cost per remaining guest goes up, because the fixed costs are shared by fewer people.

Setting a budget from the guest list

Working backwards from the guest list is one of the most reliable ways to set a wedding budget. With $14,000 of fixed costs and $140 per guest, 120 guests cost $30,800, or about $257 a head once the fixed costs are shared out. Cutting to 100 guests saves $2,800, bringing the total to $28,000, but the cost per guest rises to $280 because the fixed costs are now split among fewer people.

That is why cost per guest can be misleading on its own. The number that matters is the total, and the biggest savings usually come from the fixed side: a weekday or off-season date, a venue that includes rentals, or a smaller band. Once you know the total you need, the wedding fund calculator works out the monthly saving to reach it by the date.

Common questions

Why does cost per guest go up when I cut guests?

Because fixed costs like the venue fee, photographer and attire are shared among fewer people. The total still falls by the per-guest cost of each person removed.

What is the average cost per wedding guest?

In the US it is often $200 to $300 including everything, with catering alone frequently $75 to $150 a head.

How much do I save by cutting guests?

The per-guest costs for each person removed. Fixed costs do not change.
